Inbox Triage

Your morning briefing, all day long.

Inbox Triage keeps AIDA watching your inbox throughout the day, not just at your morning briefing. When an email that matters to you lands, AIDA pings you on the channel you choose — and can even attach a ready-to-send draft reply — so you catch the things that count without living in your inbox.

You decide what "urgent" means in plain English and what should always be ignored. Everything else stays quiet.

Good to know: Inbox Triage runs on your own machine, just like the rest of AIDA. Your email never leaves your control.

Turning it on

  1. In AIDA, open Settings and, under Automations, expand the Inbox triage panel.
  2. Switch the Inbox triage toggle on.
  3. Fill in the settings below.
  4. Click Save.

That's it — AIDA starts checking your inbox on your schedule and alerts you the moment something urgent arrives.

Changes don't take effect until you press Save, so save after every edit.

Settings

Inbox triage — the master switch. When on, AIDA scans your inbox in the background and sends alerts. When off, everything is paused and your settings are kept for next time.

Check every — how often AIDA looks for new mail. A shorter interval like 5 min means faster alerts; a longer one checks less often. Match it to how time-sensitive your mail is.

Alert channel — where AIDA sends your urgent alerts:

  • Same as briefing — use the same channel your daily briefing already goes to.
  • Telegram — send alerts to your AIDA Telegram bot (see Telegram Bot Setup).
  • WhatsApp — send alerts to your AIDA WhatsApp bot (see WhatsApp Bot Setup).
  • Webchat — get alerts right inside the AIDA web app, with push notifications on your device.
The channel you choose needs to be connected already. If Telegram or WhatsApp isn't set up yet, follow its setup page first.

Quiet hours start — the time in the evening when AIDA should go quiet and stop sending alerts (for example, 9:00 PM), so late-night mail doesn't ping you. Anything urgent that arrives during quiet hours waits for you and resumes the next day.

What counts as urgent to me — describe, in your own words, the emails you want to hear about right away. AIDA reads this like an instruction, so be natural and specific:

Client booking changes, payment issues, anything from my accountant.

You can name senders, topics, keywords, or situations. The more concrete you are, the sharper AIDA's judgment.

Always ignore — the flip side: things AIDA should never alert you about. List newsletters, specific senders, keywords, or anything that's just noise:

newsletters, senders, keywords…

If you're missing alerts you expected, check that nothing here is quietly filtering them out.

Draft replies — when on, AIDA attaches a ready-to-send draft to each urgent alert. Skim it, tweak if needed, and send — turning a heads-up into a handled email in seconds. When off, alerts are notification-only.

Save — applies your changes. Remember: Inbox Triage only updates once you save.

What an alert looks like

When AIDA spots an email that matches your urgent criteria, it sends a short message to your chosen channel telling you who it's from and why it caught your attention. If Draft replies is on, a suggested response comes attached — ready to review and send.

Emails that match your Always ignore rules, or that arrive during quiet hours, won't interrupt you.

Tips

  • Start small. Begin with a tight "urgent" list, then widen it as you see what AIDA flags.
  • Be specific. "Anything from my accountant" or "emails about overdue invoices" works better than "important stuff."
  • Tune the interval. If alerts feel too frequent or too slow, adjust Check every.
  • Use quiet hours. Protect your evenings — urgent mail will still be waiting when the day begins.

Troubleshooting

I'm not getting any alerts. Check that the Inbox triage toggle is on, you've pressed Save, and your Alert channel is connected. Also make sure your "urgent" description isn't empty.

I'm getting too many alerts. Tighten What counts as urgent to me, add the noisy senders or topics to Always ignore, or lengthen the Check every interval.

Alerts arrive late at night. Set or adjust Quiet hours start so AIDA goes quiet in the evening.

A draft didn't come attached. Turn on Draft replies and save.
