Knowledge Base

What is the Knowledge Base?

The Knowledge Base lets you upload your own documents — PDFs, Word files, spreadsheets, text files — so AIDA can answer questions using your content. When you ask a question, AIDA searches your uploaded documents and responds with relevant information, citing the source file.

This is sometimes called RAG (Retrieval-Augmented Generation). It means AIDA doesn't just rely on its training data — it can pull from your actual business documents.

Supported File Types

FormatExtensions
PDF.pdf
Word.docx
Excel.xlsx, .csv
Text.txt, .md

How to Upload Documents

  1. Open AIDA → Settings
  2. Scroll to the Knowledge Base section
  3. Click Upload Document and select your file
  4. Wait for processing — you'll see a chunk count when complete
  5. Start asking questions about your documents

Processing splits your document into small chunks and creates embeddings for search. This usually takes a few seconds per file.

How It Works

When you send a message, AIDA checks whether your question is relevant to any uploaded documents. If it finds a match, you'll see a "Using Knowledge Base" status pill appear, and AIDA will answer using your document content with source citations.

If your question isn't related to any uploaded documents, AIDA responds normally without searching the Knowledge Base.

Tips for Best Results

  • Be specific — "What is our refund policy?" works better than "tell me about policies"
  • Upload structured documents — documents with clear headings and sections give better results
  • Check the source citations — AIDA will tell you which file and section the answer came from
  • Keep documents focused — one topic per document works better than one massive file covering everything

Managing Documents

In Settings → Knowledge Base, you can see all uploaded documents with their file size and chunk count. To remove a document, click the delete button next to it.

Requirements

The Knowledge Base requires an embedding API to convert text into searchable vectors. AIDA uses your configured AI provider for this. Most providers (OpenRouter, OpenAI, Anthropic) support embeddings at minimal cost.

Troubleshooting

"Using Knowledge Base" doesn't appear — Your question may not be relevant enough to the uploaded documents. Try asking something more directly related to the document content.

Upload fails — Check that the file is a supported format and not corrupted. Very large files (100+ MB) may time out.

Wrong or irrelevant answers — The Knowledge Base returns the most relevant chunks it can find. Try rephrasing your question or uploading a more focused document.
